Last updated
The Short Version
- We don't sell or rent your personal information to anyone.
- We collect what you give us, like your name and email when you fill out a form, and basic analytics about how people use our website.
- We use analytics only to improve our website and platform, and to understand which of our marketing works.
- Our analytics run on our own server, don't use cookies, and never record what you type into forms.
- You can turn off analytics, see the personal information we hold about you, and ask us to correct or delete it.
Who We Are
Montgomery Systems ("we", "us", or "our") is based in Mississauga, Ontario. This policy covers montgomery.systems and the services we provide, including Montgomery Pro. We handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and other privacy laws that apply to us.
Information We Collect
Information you give us
- Forms: when you apply for the pilot, request an audit, or ask about migrating, we collect your name, business name, trade, phone number, email address, website, and anything else you choose to tell us.
- Newsletter: your email address and, if you provide it, your name.
- Emails and calls: what you send or tell us when you contact us.
- Customers: if you become a customer, the information we need to run your service, such as your business details, photos, services, service area, and billing contact.
Information collected automatically
We use Umami, a privacy-focused analytics tool, which we host on our own server. Your visit isn't reported to an outside analytics company. When you visit our website, it records:
- The pages you visit, the page you came from, and when
- Your browser, operating system, device type, screen size, and language
- Your approximate location (country, region, and city), estimated from your IP address. Our analytics don't store your IP address.
On a sample of visits, we also record a session replay: a reconstruction of how the page was used, including mouse movements, clicks, scrolling, and the pages viewed. Anything typed into a form field is hidden before the recording leaves your browser. We use these replays, and heatmaps made from them, to find parts of our website that are confusing or broken.
Like most websites, our servers may also keep standard technical logs, such as IP address, browser, and the page requested, to keep the site secure and fix problems.
Information about our customers' customers
When we run Montgomery Pro for a business, we handle information about that business's own customers, such as call, form, and text message details for lead alerts and review requests. We handle that information on our customer's behalf, and only to provide the service.
How We Use Your Information
We use personal information to:
- Answer your questions and check whether you qualify for the pilot
- Set up, run, support, and bill for the services you sign up for
- Send our newsletter, if you subscribed
- Improve the experience on our website and platform
- Understand how well our marketing works, such as which ads, search results, links, and emails bring people to our website and lead to inquiries
- Keep our website and services secure, and meet our legal obligations
We don't sell or rent personal information to third parties, and we won't use it for any other purpose without asking you first.
Your Consent
When you fill out a form, subscribe to our newsletter, or sign up for a service, you agree to us using what you send for the purposes above. Our analytics collect only basic, non-sensitive information, and you can turn them off at any time.
You can withdraw your consent at any time by emailing us, subject to legal or contractual limits. If you do, we may not be able to provide some services.
As required by Canada's anti-spam legislation (CASL), we only send our newsletter and other marketing emails to people who agree to receive them. Every email includes a link to unsubscribe.
Data Retention
- Form submissions and emails: as long as we need them to respond to you and follow up. For customers, as long as you're a customer and for as long as the law requires, such as for tax records.
- Newsletter: until you unsubscribe.
- Analytics: kept so we can compare trends over time. They aren't linked to your name or contact details.
- Session replays: deleted after 30 days.
When we no longer need personal information, we delete it or make it anonymous.
You Own Your Data
If you're a customer, your website, data, domain, and phone number are yours. Email support@montgomery.systems and we'll export them, including if you decide to leave.
How We Protect Your Information
We use physical, organizational, and technical safeguards suited to how sensitive the information is. These include encrypted connections (HTTPS) and limiting access to people who need it.
If a breach of our security creates a real risk of significant harm to you, we'll notify you and the Office of the Privacy Commissioner of Canada, as the law requires.
Your Rights
You have the right to:
- Ask what personal information we hold about you, how we use it, and who we've shared it with
- Ask us to correct information that's wrong or incomplete
- Withdraw your consent, or ask us to delete your information when we're not required to keep it
